Projects Coordinator
Coordinate and perform clerical and administrative support services including the direction of administrative duties for specific person or group (i.e. company executive, division, department, etc.).

TYPICAL DUTIES
1. Coordinate and perform clerical/administrative support function for assigned group. May include one or more of the following:
  • Compose and/or edit letters, memos, reports, contracts, proposals, procedures, etc., as required.
  • Process variety of highly confidential documents.
  • Develop, implement, and maintain sophisticated filing systems.
  • Monitor departments telecommunications: handle routine items, direct others to designated staff.
  • Maintain department staffs calendars; schedule/confirm meeting dates, etc.
  • Arrange travel, hotel, car reservations, and prepare itineraries.
  • Take/transcribe dictation - includes correspondence, meeting minutes, etc.
  • Process in-coming mail/faxes; open, stamp, sort for priorities. Distribute and/or handle items not requiring designated departmental staffs attention.
  • Compose correspondence for designated signature as directed. Coordinate and process administrative items for designated signature.
  • Obtain designated signatures on all contract, subcontract, and change-order documents as required.
  • Assume clerical/administrative responsibility for other departments as necessary.
  • Perform additional assignments per direction.
2. Act as liaison between own group and others, such as other departments, external contacts, clients, etc.
  • Such liaison may be required to arrange meetings, clarify and resolve problems, coordinate work, maintain working relationship and public relations, etc.
3. Oversee and/or process day-to-day administrative items (i.e., expense reports, supply requisitions, personnel transaction forms, operating budgets, etc.) per authorization.

4. Prepare special reports, studies, statistical analysis, brochures, etc. per request.

  • Such items would usually require research, development and/or interpretation of data and be performed with little supervision or instruction.
  • Utilize appropriate software to accomplish including Word, Excel, PowerPoint, Access, etc.
5. May interpret and administer a company policy, program or procedure requiring independent decision making.

SKILLS, KNOWLEDGE, QUALIFICATIONS & EXPERIENCE
Educational and experience requirements include:
  • 4 year business or technical degree plus minimum 2 years administrative experience or equivalent combinations training and related experience.
  • Working knowledge of general office procedures.
  • Ability to organize and coordinate group work efforts required.
  • Proficient research, supervisory and communicative skills essential.
  • Word, Excel, PowerPoint, Access Proficiency a must.
